The Hotel The Casa Marina is a duly licensed and legal business entity that is experienced in the hospitality business, and understands the importance of the successful execution of the event to the Customer. The Casa Marina will provide sufficient staff and service to assure that the event is in keeping with reasonable performance expectations of the agreed upon venue.
Availability The Casa Marina has limited space for 2004, 2005, & 2006. Please contact the event planner as soon as possible to confirm your event date!
Set Up The Customer will separately retain flower or other vendors in connection with the event. Vendors working for the customer will be allowed access to the Casa Marina at the stated time prior to the event for decorative work. The Casa Marina will cooperate with these vendors in the execution of their tasks.
Decorations including signs, posters, banners, or other items to be affixed to walls, ceilings or floors of the hotel and restaurant are subject to the approval of the Casa Marina management.
Tables and Chairs will be provided by the Casa Marina, and arranged in a manner agreed upon in advance of the event with the customer. Tables and chairs may be arranged twice, if necessary, for the duration of the event. The Casa Marina will obtain the Customer's approval of the arrangement at least one week prior to the event.
The Customer will separately retain a musician or DJ during the event. The customer will pay possible damages in full and the musician / DJ adheres to the outdoor music regulating stipulated by Jacksonville Beach (if applicable). The Casa Marina will also cooperate with the disc jockey, provide dance floor, a table for their equipment and provide access to electrical power normally associated with this type of equipment.
The Casa Marina's Event Coordinator will help with all ceremonial activities, serve as a personal liaison for the function and provide information on flowers, music transportation, menus and other issues that affect the success of the event to the best of his or her ability.
The Customer may retain a wedding coordinator to assist the customer on the day of the event. The Casa Marina will cooperate with the wedding coordinator in their efforts to orchestrate the event. The Customer will separately retain a tent for occasions that have an occupancy that exceeds 150 persons. The Customer may also retain a tent for any Courtyard Rental (if so desired).
Food Policy Food ServiceThe Florida State Liquor Commission governs the sale and service of all alcoholic beverages. As a licensee, the Casa Marina is responsible for the administration of all beverages. Therefore, the Casa Marina must supply all liquor and wine at the event.
Food Policy State law prohibits any food to be brought into any public area on the premises, including function rooms. All final arrangements, including menu selections and guarantees should be received by the catering department at least 14 days prior to the function.
The menu will include all of the items listed on the attached interim agreement, provided in sufficient quantity to adequately serve the number of guests stipulated in advance of the event. A final head count is required 14 days prior to the event. Additional guests can be added up until 7 days prior to event additional expenses must be paid at time of notice.
The Hotel will provide and serve a champagne toast only in connection with a bar package, or from separately purchased bottles from the Cash Bar. Champagne toast will be for wedding party only.
The Customer will provide the wedding cake, which will be served by the Casa Marina's staff at the time agreed upon prior to the event. The Casa Marina will allow the customer to store the cake prior to the event in the Casa Marina's refrigerator.
Security The Casa Marina Hotel reserves the right to inspect and control all private parties, meetings, receptions, etc., being held on the premises, and to limit the noise volume in the function rooms for consideration of others. The Hotel will not assume responsibility for the damage or loss of any merchandise or articles left in the hotel prior to or following any banquet or meeting. Arrangements may be made for security prior to your planned event through the event planner.
Group Representative Guarantee Patron is required to conduct the function in an orderly manner, in full compliance with applicable laws, regulations and hotel rules. Patron assumes full responsibility for the conduct of all persons in attendance and for any damage done to persons or property. Under no circumstances will the hotel be held liable for the criminal acts of third parties.
Shipping & Storage Any materials shipped to the Casa Marina Hotel must have prior approval by the event planner. Materials shipped may arrive no earlier than two days prior to your function and may not remain on the premises longer than two days after the function date. If any major handling is required on the part of the Casa Marina Hotel , a handling charge will apply. The Casa Marina Hotel accepts no responsibility for items left or stored on hotel property.
Vendors The Casa Marina Hotel must approve all vendor agreements 30 days prior to your event. These vendors must be licensed and insured. All vendors are guaranteed access to the function room approximately 1 hour prior to the start of the event. Vendors are required to break down and clean up all of their supplies and accessories at the conclusion of the event. No storage will be provided for left items, and the Casa Marina Hotel accepts no responsibility for lost or misplaced items. In the event that supplies, accessories or decorations have been left on hotel property after the event has concluded, a $ 300.00 clean -up charge will be administered to the wedding master account.

The Casa Marina Hotel reserves the right to change function rooms with advanced notice if the estimated number of attendees decreases by 10% or more. In this case you will be contacted to discuss these changes. The headcount may not exceed the numbers listed above with out prior approval from the catering department. Function room set-up must be determined in advance.
Facility Charges The Casa Marina will provide a picturesque setting for the customer's special event. The Space will be provided for a four hour time period. If needed, one hour (including set up and take down) will be added for a ceremony, at no extra charge.
A minimum of 100 guests is required for the Casa Marina to close down its facilities during business hours for an event. The Customer understands that the $1000 deposit made at the time of booking the event is nonrefundable in the event of cancellation. The Customer understands that a Credit Card is required to secure the space for the event. A valid credit card must be presented to remain on file. All deposits will be credited toward the final bill. The final payment, reflecting the final amount owed, will be due 14 days prior to your event. At this time your final head count will be due and approval and final signature on your final banquet event order will be required. In the event that payment is not received by the specified time, charges will automatically be posted to the credit card on file. Any additional charges that are incurred on the day of your event will be posted to the credit card on file at the completion of your event.
Terms and Conditions The Customer has provided a $1000.00 deposit, to insure event time slot. Customer deposit refundable only in the event that the Casa Marina has to close due to inclement weather, fire or other condition outside the control of the casa marina No reservation will be held without deposit.
50% of the Total Cost of the Event is Due 60 days prior to the Event.
Final Payment of the Balance due is Two Weeks prior to the Event.
Personal Checks not accepted as payment within 30 days of event; cash, charge, certified or bank check is required form of payment within this time period.
If the Customer fails to make any of the above payments, the Casa Marina, at its discretion, may make the date available for other customers.
The Customer will provide an accurate count of attendance 14 days before the Event. The price on the final count will not be reduced.
The customer may notify the Casa Marina of additional guests up to seven days prior to the Event the costs for same to be paid in full at that time.
The Customer must provide the Casa Marina with a Guest List 2 weeks prior to the event. A head count will be taken separately by the dining room and bar, add a charge made for any additional guest this charge will be made to the Customer's Credit Card. The Casa Marina does not assume responsibility for damage or loss of any merchandise or articles brought into the Casa Marina or for any item left unattended.
The Casa Marina reserves the right to charge a fee for any non-biodegradable thrown substance. $300.00 clean-up charge will be made. Throwing rice, confetti, birdseed or potpourri or any non-biodegradable substance is prohibited.
The Customer assumes full liability for any loss or damage sustained to the public areas of the Casa Marina caused by the customer, the customer's guests or vendors. Dining Room not available for extended times, Extension of hours only for courtyard and bar area.
